Conditional Rules (Checklist Template Builder)


In the Checklist Template Builder there are ‘Conditional Rules’ which can make a Checklist much more dynamic depending on the person filling out said checklist.

In this article we will provide an example guiding you through the steps to create a Conditional Rule. 

Example:

In our example we will be creating a conditional rule for if the person doing the checklist selects ‘No’ when they are asked the question “Did you do the dishes?” The conditional rule will then bring a text box which will ask “Why did you not do the dishes?” This second question in the form of a text box will only be triggered if the user selects No. This will show how conditional rules can make checklists much more dynamic. 


To start, go to the Checklist Templates tab on your 1Place instance. Click the ‘+New Checklist Template’ button at the top right of the screen.



As explained in the Checklist Template Builder article, you can name and modify various settings for this checklist. For this example, we will call this checklist “Dishes Checklist.” 

How to add the Conditional Rule:  

  1. Start by adding a group and naming it.

  1. On the side of the screen, drag in a 'Yes or No' question template. This will mean the user will simply respond by selecting Yes or No from a dropdown box to answer the question. 



  1. Now in the ‘Describe your question’ box, which is your actual question, add “Did you do the dishes?”


  1. You may describe your rule which helps you and others who may edit the checklist understand what the rule does. In this example we will describe it as being “If the user says No to doing the dishes, we ask them why they have not.”

  1. In the top box, select "AND."
  2. In the Grouping box select Group 1 (or whatever you named your group.)
  3. In the first condition box select "Is," this means that if the user selects the answer we specify, the conditional rule will kick into action.
  4. In the second Condition box, for this example select "No." 
  5. Now select ‘Text Area’ from the question options. This question template will allow the user to fill in a text box explaining why they said No to the previous question. Once you have selected ‘Text Area’, click the blue ‘+’ button to the right of this to add the conditional question.

  1. In our example, our question for the text area will be: "Why did you not do the dishes?"

  1. This question will enable the user to explain why they did not do the dishes. This is in contrast to if they said “Yes” to the original question, which would trigger nothing due to a Yes answer not being associated with the conditional rule. 
  2. Now with this done you may Save and Publish your checklist.

Testing our Conditional Rule:

  1. Go to the Complete Checklist area under the checklist tab on 1Place.
  2. Select our newly made "Dishes Checklist."

  1. This will appear:


  1. If you were to select "Yes" nothing else will occur.
  2. However, if you select "No," this below happens:

  1. As you can see, selecting ‘No’ to the first question triggers a second question, our text area asking why the user did not do the dishes. The user would then fill out an explanation as to why they did not do the dishes. 


This example shows you how to create Conditional Rules within the Checklist Builder. An example is made and shown. This shows how Conditional Rules can make checklist templates so much more dynamic through the use of follow up questions, adding depth to checklist answers and allowing the business to gain more data and information within their operations.
