Checklist Register

The checklist register enables users to see every single checklist that has been started and finished.

To access the Checklist Register click the checklists tab and click "Checklist Register." 

At the top of the Checklist Register page there are various filters which enable you to search for Checklists within the register.

Checklists can be searched by center, room, checklist template name, creator etc
It also allows you to search certain checklists by the date range of either when the checklist was created/submitted and scheduled, and here's how:

1. Let's find the checklists that were created/submitted during the certain date range. Click on the Calendar icon:


2. Choose the date range of when the checklists are submitted


3. In this example, we are trying to find any checklists that were submitted between February 1 - March 7.


4. Once you select the start date, you can then move the month by the arrow button


5. Then select the end date


6. Once you select the start and end dates, the date range appears. Once you confirm the date range is correct, click on the calendar icon again to close the calendar.


7. Click on Search


8. Now only 4 checklists came up. Let's look into each one of them to see what those dates mean.



9. This checklist was submitted on the date that was scheduled, which was March 7, therefore it's only showing 1 date.


10. This checklist was scheduled to appear on March 1 and completed and submitted by a user on March 7.



11. This checklist was scheduled to appear on February 1 and completed and submitted by a user on March 7.

The difference from the above example is it has got a clock icon next to the scheduled date.
This shows that this checklist was submitted later than the expiry date, which, in this case, was to be completed within 27 days from the scheduled date. The user was expected to complete this checklist by February 28, but was handed in on March 7, therefore it's marked as a 'late submission'.

12. Now, let's try searching checklists based on the scheduled dates. Firstly, clear the date filter from the created date (submitted) by clicking on the calendar icon, then 'clear'.


13. Then click on Checklist Date (scheduled) search field, choose the date range of when the checklist would've been scheduled.






These options help users scan through checklists in a more specific manner. This helps users find the checklists they need to access much faster than scrolling through the entire list. 


Below the filtering options are the checklists themselves:




The blue areas may be clicked on to change how the user views the checklist register. 
  • Checklist name: Alphabetically sorts your checklists

  • Template: Alphabetically sorts your templates.

  • Date: Sorts by when the checklist was completed and was scheduled - Either the farthest or closest date. 

  • Creator: Allows the user to sort by who created the checklists. 

  • Region: Allows the user to sort checklists by the region assigned the checklists. 

  • Site: Allows the user to sort checklists by the site. 

  • Completed: True or False.

  • Action: Allows the user to delete a checklist registry, print a checklist, copy a checklist and save the attachments to their PC.


The “Select Checklist” box with check boxes on the far left correlates with the green buttons above the checklist register list. 




To use any of these options, click the checkbox next to the checklist you want to interact with, and select one of the green options.
  1. Reassign: Allows the user to Reassign the checklist to either a franchisee or site, and then allows the user to choose a specific franchisee or site.
  2. Generate Custom Report: Allows the user to generate a custom PDF report for their checklist. Report layouts are created in the Reports section under 'Checklist PDF Layouts.' The creation of these are explained in the Checklist PDF Layouts article.
  3. Lock/Unlock Update: Clicking this will lock your checklist so further changes are not permitted. If the checklist is already locked, clicking this will unlock it for further use. 
  4. Complete Checklist: Allows the user to select a specific checklist that has not been completed and allows them to complete the checklist. 
As a whole, the Checklist Register allows users to see their completed and non-completed checklist, giving users various options rergarding their checklists. 


1: How to copy/clone checklist and assign to a different region:

Go to Checklist Manager > Checklist Register > click on copy button ( image.png) on the checklist you would like to make copy of:






In the pop up window, make sure "Clone checklist attachments?:" are ticked, then click "Save"

When the editing page pops up, click on the arrow on Region, then select the region you want to save the copy under.
Press "Save" to go back to the checklist register main page, press "save and stay" to save the change you just made but stay on the page and continue editing.
Make sure you save again once you finish editing everything.

*Please note that Signatures do not get copied over, so each copied checklist needs a sign off again. 
**Some questions that are triggered by some conditions may not be copied over, so please make sure all the questions are answered.

2. How to reassign checklists to the other region/educator:

If you want to change the Franchisee/Site the checklist was recorded under, you can reassign it by following the below steps:
Go to: Checklist Manager > Checklist Register > tick on the checklist(s) you want to reassign to the different franchisee/site to, the click on "Reassign" button:



Make sure you are selecting the correct type, region or educator (i.e. if the checklist is usually recorded under region, it should stay as region)
Then select the region/educator you want to transfer the checklist to, then press "Reassign"
